Word processing is a computer facility that enables users to prepare letters, reports, brochures

and other documents. The users can edit, reformat, store and print the documents. Text can be
easily corrected, inserted and deleted. Spelling can be automatically checked. The documents
can be stored for future use and can be printed any number of times.

Microsoft® Word and WordPerfect® are two examples of word processing applications. It must
be noted that knowledge of, and skills gained in using, one word processing application can be
easily transferred to another word processing application.

LESSON 1: CREATING A BASIC WORD DOCUMENT

Starting Word

 Activate the Windows® Start menu.

 From the Programs menu, select the Microsoft® Office folder, then select Microsoft®
Office Word 2007.

The Word document window is displayed. This is where you will type your document. Word
assigns “Document1” in the Title bar as the document name until you provide a name. The
following diagram shows the components of the Word document window.

As text is typed, the insertion point (cursor) automatically advances to the next line as the line
becomes full. This is called word wrap or wraparound. It is only necessary to use the Enter
key at the end of a short line (such as a heading) or to begin a new paragraph. The convention
states that two spaces should be typed after every sentence. Be sure to follow this convention.
Please note that a punctuation mark (e.g., ,, ;, .) should be typed immediately after a character
and then a space, and not a space and then a punctuation mark.

 Begin typing by reproducing the following:

document is displayed on the screen of the system as it is typed on the keyboard. Text can be
inserted and deleted, and spelling can be checked.

 Use the appropriate arrow keys to place the cursor at the end of the first sentence. Press
the spacebar twice and type the following sentence:

Word is a very popular word processing application.

You have just inserted text in your document.

Saving a Document

A document must be given a name for identification. Word attaches a .docx extension to the
name of each document. When saving a file, you must indicate the location (drive/folder) you
wish to save it to.

 Click the Microsoft® Office button.

 Click Save As . Alternatively, you could click the Save icon on the Quick Access
toolbar next to the Office button (the shortcut is Ctrl + S or F12).

The Save As dialog box pops up on the screen.

 Click on the arrow that is immediately to the right of the Save in: text box and select the
relevant removable disk option (pertaining to your flash drive) from the removable
storage devices displayed.

This makes your flash drive/floppy disk the default storage medium.

 Type the following filename in the File name: text box:

Word Lesson 1

 Press the Enter key or click on the Save button.

When the process is complete you will see the name of your document in the Title bar.

If you are saving your document to the computer’s hard disk, then My Documents
should be selected instead of the respective removable storage device. My Documents is
the default storage folder for Microsoft® Office documents.

After saving your document for the first time, you can save the document again and
continue updating it by clicking the Save option from the Microsoft® Office button, or
by clicking the Save icon. If you wish to save your document under a different filename
or in a different drive or folder, you would need to use the Save As option.

Print Previewing a Document

The Print Preview feature enables the user to see how the printed document would look before
printing. This allows changes to be made and the layout verified without repeated printing of the
document.

 Click the Microsoft® Office button.

 Select the Print Preview option from Print.



This will give you a view of the paper-layout of the document.

 Place the mouse pointer on the page.

You will notice that the mouse pointer changes to the symbol:

 Click once on the paragraph you typed.

This will allow you to zoom in on your document to examine the details. (You may need to use
commands on the Print Preview tab to adjust the preview.)

Notice that after clicking, the mouse pointer changes to the symbol:

If you click once, this will allow you to zoom out, so you can view the layout of the document.
Zooming may also be possible by clicking the or buttons at the bottom right-hand corner of
your document window.

 Exit the Print Preview mode by pressing the Esc (Escape) key or by clicking the Close
Print Preview button on the Print Preview tab.

Printing a Document

 Click the Microsoft® Office button.

 Select the Print option from Print (the shortcut is Ctrl + P).

The Print dialog box appears. The options under Page range are: All, Current page and
Pages:. Under Copies is the option Number of copies:.

 Select Current page and ensure that Number of copies: is 1. Click the OK button when
done.

The document should now be printed on paper.

To send the document directly to the printer without changing the printer settings, select
the Quick Print option from Print in the Microsoft® Office button.

The Quick Print option may be added to the Quick Access Toolbar by clicking the
Customize Quick Access Toolbar icon and then selecting Quick Print. This would
allow you to print a document by just clicking the Print icon on the Quick Access
Toolbar.

Closing a Document

 Click the Microsoft® Office button.

 Click Close.

Exiting Word

 Click the Microsoft® Office button.

 Click Exit Word.

Note: Another way to exit Word is to click on the Close button in the Title bar.

You should be back at the Windows® desktop.
