Monginis received HACCP certification in the year 2008, and also possess ISO 9001-
2000 certification.
The HACCP system, which is science based and systematic, identifies specific hazards
and measures for their control to ensure the safety of food. HACCP is a tool to assess
hazards and establish control systems that focus on prevention rather than relying mainly
on end-product testing.

Monginis Foods has 7 policies which are followed since the company is HACCP
(Hazards Analysis Critical Control Point) certified:

1. Quality Policy
At millennium bakers, they are committed to manufacture in clean and hygienic
environment, bakery products of world class quality which are safe for human
consumption and freshly delivered to their esteemed customers through network of their
outlets.

2. Food safety Policy


Tobacco, cigarette, gum and other such chewing items are not allowed in factory
premises.
Any employee under the influence of alcohol is not allowed to enter factory premises.
No personal food items to be stored or consumed within production, stores, dispatch area.
No cell phones are allowed in Production area, stores, dispatch area.

3. Glass Policy
No glass articles are to be used in production, stores, and dispatch area.
All glass pans on floor are checked for breakages once a month and are recorded.
They are also numbered and production workers are fined if the pans are found available
at any inappropriate places.

4. Health Policy
Medical checkup is done of all employees every year to check for any contagious
diseases.
Any employees having cuts, boils on any part of the body should be covered with water
proof bandages.
Employees suffering from cold, fever are not allowed to work in direct contact with the
food items being manufactured.
No employee is allowed to work without medical certificate from a medical practitioner
after joining from medical leave.

5. Jewellery and Cosmetics Policy

No Jewellery such as bangles, rings, earrings, bindis etc or any other accessories like
watches are allowed in production, stores and dispatch area.
No nail polish and artificial nails are allowed.
Employees are not allowed to use perfumes, deodorants on factory floor, dispatch,
production and stores.
Before entering Production, Stores or Dispatch employees should remove their
accessories like watches or any other jewellery etc that is worn.

6. Visitors Policy
All visitors should obtain prior permission from the concerned department head before
entering production, laboratory, maintenance, stores and dispatch area.
All visitors must wear disposable caps and coats before entering production, packaging
and storage area.
Vistors must strictly follow the jewellery policy while entering factory floor.

7. Sanitary Policy
Tube light covers are to be cleaned every week.
Machines are cleaned and floor is sanitized everyday.
Employees have to follow the hand washing procedure before entering production.

Health

STANDARD SANITARY OPERATING PROCEDURES (SSOP)

Here there are 13 procedures to maintain hygiene especially in production i.e. cleaning of
factory floors, moping, personal hygiene etc. These have to be maintained according to
HACCP. Each have frequencies for e.g. for Cleaning the rules should be followed and
therefore they should maintain the standards set by the company.

‘Personal hygiene’ is one more important factor that Monginis gives greater importance
to. For e.g. while entering the production area, feet has to be cleaned by placing them on
the door mat and scrubbing them through the water. Hands must be rinsed using soap and
sanitizer and than dried. Monginis uses sensory machines for faster work. A lab coat must
be worn along with a head cap. Watches and other jewellery items must be removed and
personal items cannot be taken inside.

Hand SWAB is conducted of all factory employees to check the hygiene level of the
hands of workers. The results are than displayed on the notice boards to show every
employee where he stands and to make him aware of his personal hygiene so that he
makes further improvements.

The slides are touched all over of the employees’ hand of each department (Production,
Storage, and Dispatch and Quality Assurance). Employer’s name & date is noted down.

The colony count is recorded such as Total platelet count.
These slides (in the plastic bottle) are then subjected in the autoclave for sterilization.
The slides (in the plastic bottle) are disposed.
The results are displayed on the notice board of the production department with the name
with the best results in the bolded form.

Every week or month different things are serviced or maintained-


1) Electrical fans, Exhaust fans are serviced monthly.
2) Water tanks are cleaned every 3 months.
3) Broken glass inspection is done every month in the whole factory.
4) Equipments are updated as per the frequency of calibration.
5) Cleaning procedures of factory floor ( Twice a day)
6) Cleaning procedures of Personal hygiene (Before entering work area)
7) Cleaning procedures of Electric fans (Once in a month)
8) Cleaning procedures of Water tank (Once in three months)
9) Cleaning procedures of Exhaust fan (Once in fortnight)
10) Cleaning procedures of Fly kill light (Once in fortnight)
11) Cleaning procedures of Tube light (Once in a month)
12) Chlorine checking of water (Daily)
13) Cleaning procedures of Septic tank ( Once in six months)
14) Cleaning procedures of Washroom (Daily)
15) Cleaning procedures of Toilets (Daily)
16) Cleaning procedures of Food contact utensils (Daily)
17) Cleaning procedures of Plant machines (before every change of product)

ETP (Effluent Treatment Plant)


Recycling of water is done which is known as ETP.
There are 3 tanks. Dirty water from washed trays, plates etc is collected and stored in
tank 1. Through pipes the water is moved to tank 2. Here caustic soda is added to the tank
to increase the PH from 7 to 9. This water is than transferred to a mixer where water is
mixed thoroughly and alum is added to the tank. The clean water is than sent to tank 3.
Electrolyte is added to decrease the PH back to 7. Hypochlorite is also mixed for cleaning
and to remove bad smell. The filtered water is further used for various purposes like
watering the garden, cleaning floors in production area etc.

Personal hygiene is very important in Monginis since it is HACCP certified. Hand


SWAB tests are conducted for all employees and workers visiting the factory.
Every Saturday factory is cleaned thoroughly well. Mopping of floor with soap and
sanitizer is done daily in factory. Tables and chairs are also cleaned and sanitized weekly.
Each department is cleaned well on 1 day for e.g. Production – Tuesday, Maintenance –
Wednesday, Stores – Friday etc.

Solid waste treatment


Waste from production like left over dough, bread crumbs etc are mixed with ash and a
mixture is made which is used as manure in their gardens and is also disposed in the
surrounding areas to fertilize the land.
Medical checkup:
Every employee who is joining the company has to compulsorily undergo a medical
checkup. No employee is allowed to work without a medical certificate from his medical
practitioner after joining from medical leave or when newly recruited. It is conducted
once a year for all existing employees.

Safety
Electronic Maintenance
All machinery and other equipments are checked daily. In production there are a total of
137 machines (both small and big included). Each machine is checked everyday and
serviced if required. After checking remarks are given, the remarks show if machinery
needs to be repaired or if parts need to be replaced. Once a month all the machinery is
checked strictly and serviced. All this is recorded in the Preventive maintenance record
file. This is basically to prevent any damages which might occur and cause harm to the
employees as well as the factory.

Breakdown maintenance of machines


When there is breakdown of machinery, maintenance In-charge is informed, he attends
with his maintenance team and tries to find out the root cause of the problem. If it is in
preview of in-house maintenance the maintenance is conducted immediately. If machine
is to be repaired by the authorized / approved agency, the agency is informed to
undertake the repair.

• Calibration of the weighing scales & ovens is conducted once in a year & once in six
months respectively.
• Window glass & door glass are covered with the filming paper & use of acrylic
glass material for the same.
• Fire extinguisher cylinders are installed & refilled once in a year. Also training the
staff about its use is done.
• Assisting PCI for pest control, by bringing into their notice, such as holes in the
walls, wide opening of deep freezer for cockroaches (once in month) and
installation of Roda Box, Spider & Pesto killer in the appropriate areas.
• There are also medical practitioners employed by the company incase of any harm
or danger caused to the employee due to factory material, machinery etc. In
situations of emergency they are brought to the factory.

Procedures are maintained for crisis management to manage emergency situations.


Most of the environmental hazards are covered under pre-requisites typical hazards are
identified for crisis management:
 Fire
The fire fighting equipments are installed at fixed locations to control the fire. The
employees are trained every year for fire fighting by the equipment supplier. The records
of training are maintained. The emergency contact numbers are permanently displayed at
gate and other important locations

 Sabotage

The employees are employed only with the reference and are retained if found
trustworthy. The security guards are employed round the clock to check unauthorized
entry in the factory area. All persons entering the factory are registered and other
employees are all given the entry permit after registration. The entry in production and
storage area is strictly for authorized people.

 Flood
The location of the factory is at the highest level and there is large height drop behind
preventing any chance of flooding. An evacuating process has been established and mock
drills are conducted once in six months to evacuate employees in case of emergency.

Welfare

• Canteen facilities are provided for all employees in the factory with varied food
items for all type of food preferences of employees.
• There are separate male and female bunks provided for employees.
Changing/dressing rooms are also given to the employees.
• The workers that are on night shift are provided with free transport facilities. This
is basically done to protect the employees or prevent them from staying absent at
the factory premises due to lack of transport facilities etc.
• Special lunch rooms are provided which are air conditioned and ventilated
regularly. Hygienic drinking water is provided free of cost.
• All the rooms in the factory are fully air conditioned except for some sub-
departments in the production and dispatch area.
• All employees especially labor are given Security Card so that labors can move
around at night to come to the factory.
• Birthdays and annual picnics of all employees are celebrated to improve relations
among each other.
• Traveling allowance, loading and food allowance, night shift allowances are given
to drivers and labors traveling from a long distance.

Working hours
Profile of employees:
This organization has an equal number of both males and females, most of which are in
production as labors or utility workers. The age group of employees is anywhere above
18 and below 40. Candidates are selected based on their qualifications and according to
what post they apply for. No employee below the age of 18 can join the factory.

There are a total number of 250 employees of which 190 are only in the production
department including bakers, workers, cleaners etc. Out of the remaining 60 employees
25 women are currently employed in the factory.

Termination/ penalties:
Any employee with misconduct are given a total of 3 memos, this is for the management.
If he exceeds 3 than CEO takes the necessary action. Labors or utility workers are also
given 3 warnings.
Before an employee wants to resign from the company he has to send a letter a month
before to the company. If it is possible for him to leave the organization and sanction is
given than he can leave the organization, before leaving the organization he has to give
an Exit Interview to know the reason of him leaving the company and if his problem is
related to the company than the management tries to attend his problem and retain him
back.

Medical Reimbursement
The HR has to look after statutories like Provident fund (PF) and Employee state
insurance (ESI). These schemes are provided to employees so that the employee benefits
in case of sickness, maternity, employment injury and to make provision for certain other
matters. To claim for ESI employees must have genuine medical bills to support their
statement. Provident fund scheme takes care of the following needs like Retirement,
medical care, housing, family obligation, children’s education, financing of insurance
policies etc.

Ventilation
The factory is fully air conditioned accept for production, dispatch, stores etc. under
production department i.e. in cream mixing department it is air conditioned so that the
cake items do not melt. It is to maintain the temperatures of the food products.
Exhaust fans with ducting in production, stores department.

Lighting
Bulb lights are not used in production department. A bright atmosphere should be
maintained specially in production department. Bright tube lights are placed all over
production department. The tube lights are covered with a type of fiber material to protect
and prevent it from breakage. This is to protect the food material from mixing with the
broken glass and to avoid contamination with food material.

Motivational Programs
Performance appraisals are conducted of every employee and rewarded if worthy.
Motivational talks are also given to all staffs. Handling employee grievances is
considered as a motivational technique in Monginis Foods because they believe that if the
employee is attended and his problem is solved than he feels that he is given importance
in the organization and is therefore motivated.
