Accounts Receivable Manager
* Management of up to seven employees in the Accounts Receivable, Cash Applicati
on, Audit of Advertising, Month End Reporting and Distribution of Invoices and C
redit Memos.
* Improved the process of posting customer payments by 50% by developing new pro
cedures and working with IT to create new tools to increase efficiencies.
* Increased cash flow by encouraging customers to pay via wire transfer or ACH.
Originally 40% was paid by wire transfer or ACH; implementation of procedure, ca
sh flow increased to 98%.
* Improved credit memo issuance process from two weeks to 24 hours by assuming r
esponsibility of a advertising auditing process within AR Department.
* Assumed responsibility for the A/R of four additional companies without increa
sing headcount while still meeting departmental and company goals.
* Developed and distributed reports that included balancing of daily cash receip
ts, cash projection reporting, bad debt reports, A/R reserve and aging analysis
for the open receivables of five companies.
* Responsible for reconciling the bank statements to the various open receivable
reports to ensure all cash was posted accurately.
* Worked with contact at Mellon Bank to consolidate the quantity of lock boxes f
rom six to two which improved efficiencies and saved the company $35K annually.
* Developed a process with Mellon Bank through which they keyed payment receipt
data including invoice numbers and payment amounts. The data was transmitted via
EDI for an auto upload of the data for automatic payment posting which saved ap
proximately 80 man hours per month.
* Worked with customers to submit payment details electronically using an 820 or
821 format which increased employee productivity and increased departmental eff
iciencies.
* Ran monthly departmental meetings to discuss goals, work flow and job assignme
nts.
* When company purchased a Canadian company; I was responsible for transitioning
the AR department from Canada to California. I traveled to Canada to understand
the current processes and to develop a transition plan which successfully impro
ved cash flow and decreased headcount.
* Prepared training program and all materials for the transition of the A/R func
tions to India.
* Responsible for hiring, training, managing and preparing reviews for staff. Pa
rtnered with Human Resources in career planning for staff.
* Ensured work coverage properly cross training all employees.
* Ensured that all members of Senior Management team were kept apprised of any i
ssues or concerns that would negatively affect cash flow by scheduling meetings
or conference calls as needed.
* Member of the CD Sale Planning committee. Responsible for arranging staffing i
ncluding cashiers and security personnel and ran cash receipt process on the day
of sale, which generated sales of up to $40K annually.
October 1996 to May 1998
Lead Credit Analyst
* Worked as part of a centralized credit team to initiate timely account mainten
ance, financial analysis, reconciliation, and collections for assigned accounts.
* Performed timely research and resolution of chargeback claims, including retur
n quantity and pricing discrepancies and any other type of claims.
* Generated requests for proofs of delivery as requested by customers and to sup
port claims of resolution.
* Monitored past due items and initiated timely collection activities.
* Responsible for evaluating new and existing customer credit lines and recommen
ding appropriate credit lines based on credit reference investigation and financ
ial statement analysis.
* Reviewed and administered security instruments in connection with secured cred
it lines, initiated original UCC-1 financial statement filing, amendments and co
ntinuations in accordance with the Uniform Commercial Code.
* Reviewed orders with credit contingency, initiated resolution activities with
the customer, and when resolved, released orders for fulfillment.
* Responsible for collections of key customers which required phone calls, e-mai
l communication and on site visits as necessary.
* Member of Riemer; a Credit Risk Reporting Service through which the music indu
stry met twice yearly for discussions regarding the accounts that purchased from
the major music companies.
