II semester Subject: Instructions for Summer Training Summer Training provides exposure to the real-life situation prevailing in the organisation and this exposure is very necessary for the development of a manager. Therefore, you are to take this training seriously and try to learn as much as you can under the able guidance of the experienced executives. During summer training you are advised to follow the following instructions carefully. 1.Reporting Date Please reach the organisation on the scheduled date. Report to the officer, whose name is mentioned in the letter of consent. Plan your journey & reservations accordingly. Soon after reporting, inform the placement cell, PIMR. 2. Project Title The title of the project along with the name of company and place should be sent to the placement cell so as to reach us by 15th June,2009 .If a student fails to send this information, it will not be included in the profile to be printed in the brochure. 3. Regularity and Punctuality Please go to the office/factory on every working day, regularly as per the scheduled time. Be punctual Do not go late and do not come back earlier than the office hours. You have to work as if you are an employee of the organisation. 4. Disciplinary Control During the training period you will be under the disciplinary control of the officer concerned from the organisation. Obtain gate pass/identity card/entry card, if necessary. Carry two duly attested passport size photographs. Also carry your PIMR identity card. Be respectful and courteous with all the employees/officers of the organisation. This will facilitate your learning process. 5. Pre Training Instructions *Contact your faculty guide for detailed instructions, before proceeding for training. This being your first training, you are expected to have general idea of each and every aspect of the factory and the working of the office. Therefore, request the officer concerned to post you in all the departments and every function of the organisation such as, Purchase, Transportation, Production ,Sales and Marketing, Accounting, Dispatch, Labour and Personal, Computer, Banking, Engineering, Finance, Customer services etc. depending on the nature of the organisation. If the organisation wishes to carry out a project, the same should be undertaken on completion of the initial training in all departments. Note: 1 Do not go to the department where the organisation does not want you to go. 2 Do not see any confidential papers. 3 Maintain absolute secrecy of the information you get about the organisation.

6. Report Writing (a) Annual Reports etc You should request the company to provide you the copy of the latest annual report and of the last few years (if possible) along with the other material/documents/literature about the company. This will help your analysis and report writing. (b) Within 10 days of the completion of the summer training, you have to submit a report in consultation with your faculty guide & submit the same to him/her by 30th July, 2009. The report should cover all aspects of your summer training. The student should prepare the summer training reports on the formats given for the type of training the student has undergone. General Training 1. History of the organisation and objective. 2. Organisation structure. 3. Financial performance (including quantitative aspect) and position, costing methods and analysis of statement. 4. Personnel : Recruitment process, personnel polices, training and development, welfare activities . 5. Production/Operations :Products/services offered, layout of the facility, quality control, material planning and control, future plans. 6. Marketing : Areas of operation, competitors, market share ,advertising and sales promotion. 7. Strengths and Weakness of the organisation. 8. Suggestion discussion with management. 9. Any other special point observed by you. The report should be submitted in four copies, in typed form. One of them should be hard bound and remaining three should be spiral bound. The student keeps one copy for himself/herself, one will be sent to the organisation, one for the faculty guide & one for examination. Special project undertaken Chapter 1: Introduction Write briefly on points 1-9 as the introduction of the organisation. Chapter 2: Methodology Introduction of the project a) the study and its objectives b) the sample c) the tools :(1) For data collection (2) For data analysis Chapter 3: Results Chapter 4: Discussion/Interpretation of results Chapter 5: Suggestions and Conclusion Chapter 6: Implication of the study (a)References (b)Appendices. (c) A copy of the certificate from the company is to be submitted at the placement cell by 31st July,2009

(d) Summer training report is a compulsory part of internal assessment 7. Expenses Students will have to bear all expenses of summer training including travel, food, stay, etc. he/she can, however , accept facilities voluntarily provided by the organisation in terms of free transportation bus, concessional food , guest facility ,stipend ,hospital facility. 8.Faculty Visit Director/Placement officials or any Faculty member may come to supervise the summer training. Therefore keep the Prof. In charge placement /faculty guide of PIMR informed about your address, telephone number, officer-in-charge of training. Also keep them informed of the progress or the difficulties in training. 9. Feedback form After the completion of the project, you have to get the Summer Feedback form filled by your company guide. The business card of your guide should also be attached to the feedback form.
