Documentation and Reporting

Director Programme Chief Executive Activities


Management & Supervision

To ensure that Monthly Progress Reports and donor reports are documented, analyzed and submitted to the monitoring section and donors. To ensure that data and informations for annual report has been submitted to Resource & Documentation Officer. To respond donors and management queries on progress report. To ensure that relevant managers have developed plan of action on the gaps identified by Monitoring Section and ensure compliance on it and report to Executive Committee. To ensure compliance on monthly and quarterly targets inline with donor plans. To ensure that all the reports are shared with Resource & Documentation Officer for maintenance and updation of organization memory.

Staff Management:
To carry out performance appraisals of Regional managers and Project Managers on yearly basis. To ensure that programmes are designed, executed inline with the needs and project plan. To ensure team cohesiveness and be part of conflict resolution with DO. To provide on job support to Programme team at HO & regions. To visit regions and communities periodically to look into the programme and provide support to the team. Will be in liaison and ensure that organizational Policies and Procedures are practicing at Programme level. Also to support Director Operations in ensuring of SOPs, Policies at organizational level. Financial Management To ensure that quarterly budgets are prepared and timely submitted to the Head Office from regions. To update her self on the donor budgets and ensure that funds are properly utilized inline with donor budgets. To analyze monthly programme spending inline with donor budgets and to take timely actions if there is any deviations. To ensure that budget vs expenditures are prepared on monthly basis. To keep insight of credit disbursement and to give final approval of disbursement.

Programme Development

Fund Raising

To ensure that policies of all KK thematic areas are developed in line with Human Rights conventions and themes. To ensure that all KK thematic policies are practiced. To take part in the decisions about expansion of KKs integrated approach geographically and thematic wise as well. To provide technical guidance to Regional Managers and Project Managers. To ensure that programmes are implemented in line with project proposal and policies. To ensure uniformity and standardized of Programme in different regions. To ensure that plans and informations/ideas are generated from field and submitted to the proposal development coordinator for further processing on regular basis. To chalk out the programme activities for proposal writing. To participate and present KK work in donors coordination meetings.

Coordination

Capacity Building Staffing Sustainability

To ensure that all the informations have been shared with DO & Executive team To coordinate and consult DO and Executive team before taking any decision. To develop a good liaison with DO and ensure to work in close coordination with DO, CE at all level. To coordinate and interact with donors and other stake holders regarding programmes and represent KK in various forums and to project KK work in different geographic areas of KPK and FATA. To be the part of KKs Executive Committee. To participate in meetings and workshops. To ensure that programme staff is cooperating and willing for the TNAs carrying out by Training Unit. To coordinate and do follow up with training unit on the capacity building plan and its compliance in perspective of project plans and TNAs. To pay attention on the mentoring & on job training of immediate staff at region and Head Office level. To develop a second line management (esp. female). To ensure that new staff is hired according to the need and project proposal. To ensure that new Programme staff is inducted accordingly. To ensure that gender based organizations are operating in the field. To facilitate and provide support to the regions that village wise strategies are in placed in the regions. To develop the sustainability plan of each programme in consultation with Regional Manager.
