BACKGROUND DESCRIPTION School Management System is a large database system which can be used for managing school's day

to day business. School Management System allows users to store almost all of their school's information electronically, including information on students, employees, properties, teaching materials etc. Most importantly, this information can be easily shared with authorized users, records can be easily searched, and reports can be easily generated. This research project presents a tool that allows virtual societies such as schools to be implemented. In this way, the study of emergent behaviors in these systems can be carried out. The attributes of the future students record are required to meet these needs, discussing several of them in detail to highlight the scope and complexity of the issues to be addressed. Students records are the primary repository of data used. Although students information is increasingly likely to be computerized, the current, predominant mode for recording students data remains the paper record. STUDY AREA Wesley Grammar Senior High School is situated in Dansoman in Acrra of the Greater Accra region of Ghana. The institution can be allocated on Methodist University College Campus. The institution is a few kilometers from the Dansoman grammar junction. Wesley Grammar Senior High School has a population of about four thousand (4000) students and about three hundred (300) stuff workers. The campus is made up of boys and girls dormitories. A dining hall, classroom blocks, an Administration block and a few bungalows for teachers. The institution has got one headmaster and assistant headmasters with each performing a different role altogether. They have also got 57 teachers in all. The courses they offer are General Arts, Science, Business, Home Economics and Visual Arts. STATEMENT OF THE PROBLEM Although there are a lot of senior high schools in Ghana, it is just a few that has a computerize management system in use. Therefore very little has been achieved by the senior high institutions through their management system. Although the management system contributes to the growth and development of the institution just a petite attention has been given to it.

Wesley Grammar Senior High School like any other Senior High institution seeks to make profit out of good management system e.g records of students who has not pay fees are intact, in other to make it easy to contact them to pay the money . The cost incurred by Senior High institution in their management systems are very high yet the outcome not satisfactory or not as projected. However policies like implementation of computerize management system can contribute to the growth of the institution financially as well as academically. Many senior high institutions have a problem with the management system they use for their school therefore leading to an enormous lost to the institution, which can lead to insolvency of the institution. This study is therefore, to study the management system used by Wesley Grammar Senior High School and see how best it can be improved in terms of accuracy and time used. OBJECTIVES OF THE STUDY Easy access to reference record. Provide management tools for day-to-day school activities. Improved school management system through workflow driven processes to cut down on manual transmission of data - cutting on time delays and human errors and ensure data integrity To generates students reports

To solve the problem of data records getting missing RESEARCH QUESTIONS How is student personal information recorded or captured? How are student reports obtained? What are the problems concerning the management of the areas to be discussed? What effort can be made to minimize cost and grant efficient work output? What are some of the planning procedures used by Wesley Grammar Senior High management towards the system in use (manual system)?

SIGNIFICANCE OF THE STUDY The essence of this project lies in the fact that outcomes and suggestions would help the Institution officials to improve upon their policies, management and put in place a management system for the benefit of the Institution and the community as a whole. The findings will help the Institution to put certain policies and management system in place to retrieve its information needed about the student accurately without delay, making sure cost involved is also reduced. SCOPE OF THE STUDY The main responsibility of this research is to develop software or computerized management system for all Senior Secondary Schools. For this project, only two areas of the school activities would be studied. The first is computerized system for capturing all students records, the courses, classes, and subjects offer The second is computerized system for teachers to capture their entire datum on class work, class test and exams and generating students report. In summary, functional components will include the following. Integrated view of students data School decision support School order entry Access to knowledge resources Integrated communication support

LITERATURE REVIEW The purpose of a school management system (SMS) is to recall observations, to inform others, to gain knowledge, to monitor performance, and to justify interventions, many users described in this system, although diverse, have a single end goal to further the application of the management system in ways that will improve the performance of the school both academically and financially.

Observational studies of users (management system users) of the paper-based record find that, other practical limitations reduce the effectiveness of traditional records for storing, and organizing an ever increasing number of diverse data. A computer-based students record is designed to overcome many of these limitations, as well as to provide additional benefits that cannot be attained by a static view of events. The problem of translating a manual system into an automated system has come sharply into focus over the past several years. Developers of
Computer-based Student Record Systems (CSRS) must thoroughly understand school information

needs and workflows in the various institutional settings. The need to protect student privacy must be balanced by the need for timely access to data.
SMS can play an important role in improving the performance of students and strengthening the weakness of the manual management system thereby improving the financial status of the institution. SMS implementation will necessitate both organizational and behavioral changes. Organizationally, it will require substantial coordination across the many elements of the school management system. Behaviorally,

METHODOLOGY The methods used include: Gathering relevant information about the school. Collecting sample forms such as assessment forms. Interviewing the Administrative officers, Management and Teachers about their specific duties and expected output. System users are usually the first information source investigated. From users it is possible to find out existing system activities and requirements. Interview is one of the main methods used to gather information

ORGANISATION OF THE STUDY This study is divided into five chapters. Chapter one deals with the introduction to the study. Chapter two covers the literature review, chapter three talks about the methodology of the study, chapter four covers the findings of the study. And chapter five comprises the summary, conclusions and recommendations.
