Purpose

The way a student is received by you and your staff can quickly set the tone for the overall experience. A student who feels welcomed by a company right from the start is more likely to place value on projects and tasks, and feel a sense of purpose within the organizations structure. It is critical to the success of the intern to welcome them and set a positive tone. This can be achieved initially through Orientation. Orientation can be anything from a planned program or seminar to a conversation over lunch. Below is a list of items for a manager to work through with their new intern. This document applies to new internship employees. Manager Complete this checklist with new intern Intern Work with Manager to complete the items on this checklist Before The First Day: Request User ID, email account, computer, phone, and proper network group access Set up workstation area with computer hardware, and software, phone, and basic supplies Send new team member announcement to team members and business partners Schedule interns first day (2-4 hours) and make sure you are available to meet with them Plan team lunch on first day out of the office to have a social atmosphere outside of work Encourage your employees to personally introduce themselves to the interns throughout their first day or week. Ensure you have new interns employee number Invite intern to weekly staff meeting Create bi-weekly one-on-one meeting with intern to discuss issues, accomplishments, etc First Day: Greet intern upon arrival Ask if there are any outstanding questions from the Orientation class that you can answer Outline job expectations Ask if there are any forms or paperwork you must complete as part of the internship program Make sure they have security badge and access to building Provide tour of facility including the following: o Where to park car o Lunch room(s) Refrigerator Microwave Vending Machines Coffee Machine(s) o Where is their desk/workspace o Where is the supply closet o Where are the restrooms o How to use the copier Introductions to co-workers

Outline the dress-code Outline the normal working hours Outline procedure for calling in sick Outline procedure for scheduling vacation/time out of office Review departmental organizational chart Review how to set-up and check voicemail Walk through network related tasks o Logging into the network o Review password policy & changing passwords o Review Internet usage policy o Review timesheets/e-Time system Review payroll schedule Review holiday schedule o Test printer o Review common intranet websites o Take outstanding certification exams Compliance Privacy Personal Security o Allow time to review existing emails Answer any first day questions or questions about upcoming internship

First Week: Detail project and/or task assignment(s) Detail typical departmental workflow Hold first one-on-one meeting o Review your expectations for the intern o Ask intern to outline their expectations Expectations of position Expectations of manager o Work together to create a development plan o Outline training plan o Outline potential assignments and tasks o Work together to create goals Goals of manager Goals of intern Determine how these goals will be measured Determine how often these goals will be evaluated Allow time to work through assignments with as little supervision as possible, while maintaining contact with intern Review and discuss work assignments as progress is made Assist with e-Time data entry if necessary Answer any first week questions
