PROPOSED REVISED SYLLABUS FOR SECRETARIAL PRACTICE UNDER THE CRAFTSMEN INSTRUCTOR TRAINING SCHEME GENERAL INFORMATION 1. Duration of Training : Each 4 months Module I (4 months) Module - II (4 months) 2. Entry Qualification : 1. Passed NCVT certificate in the concerned Trade under (CTS) or Diploma in Commercial / Secretarial practice. 2. 12th class with 50 % or higher marks in English (Relaxable by 5% for SC/ST candidates) Merit list criteria / weightage will be (proportionate to the % marks obtained in the concerned exams). 3. Course Objectives : The objective of the course is to prepare trainees for employment in Front Office / Executive Secretary / Private Secretary etc. The objective of the course is to create a skilled work force for modernize office environment who will be competent enough in handling Office Assistant job with multi tasking abilities and to trained them imparting Training as Craft Instructor Training.

b) Type @ 50 w.p.m in Computer, MSOffice (Word, Excel, Power Point, outlook). c) Take dictation @ 90 w.p.m. in short hand.

TM II

a) perform all Secretarial duties with specialization in Office administration, travel, correspondence etc. Drafting of notices, circulars, minutes, resolutions, reports etc. Able to arrange travel details and documents, booking of tickets by Air, Rail, Toad etc. Telephone conversation & Manners.

b) Type @ 50 w.p.m. in computer, Ecommerce, Financial accounting etc. c) Take dictation @ 100 w.p.m. in Short hand.

Note:- Admission in Trade Module II will be given if & only a candidate has
appeared in Trade Module I. In case of failure in Trade Module I, the candidate has to clear Trade Module I within 3 years from the date of admission.

MODULE I [SECRETARIAL PRACTICE]
1. Front Office: What is front office? Need for a secretary in a business firm. Position of the Front Office Executives work area:Status, role and functions of a secretary. The qualities required of a Front Office Executive:Business knowledge and in-firm experience. Personal qualities. Relationship between Front Office Executives & Chief Executive Officer and other executive. What the executive expects from his Secretary. Efficient Secretarial partner. Expectations from FOE by the officials:Awareness of officials position, priorities, Secretarys instinct for cooperation. Trainees has to maintain a Record Book with different types of Government form, Postal form, Banking form, Rail/Air reservation form etc. Routine Secretarial Duties: Inward mail procedures (Postal & Currier Services):Handling of Incoming correspondence Receiving mail; Opening the mail; Scrutiny, date-stamping, sorting and distribution, Action on mail. Outward mail procedures (Postal & Currier Services):Production of correspondence, Signature and control, Referencing, Despatch of outgoing correspondence. Filing; Methods of Filing:Definition, Modern methods of filing, Principles, Importance, Methods of filing. Principles, Importance, methods of filing, electronic filing & organizational filing, e-mail filing, Definition of Index, importance of indexing, methods of indexing. Reprography - Computer printing and duplicating:Systems of copying and multiplication of copies, Digital stencil, photocopying, scanning softcopy & hard copy. Secretarial Management:The working day: Setting the table of executive at the start of the day, check CEOs room, check the clock, harmonise diaries, review list of priorities. Use of Diaries: Executives desk diary, executives pocket diary, Visitors card diary. Year planners and Graphical Planners: A year planner. Quarterly & Half-yearly follow-up. Internal Verification. Public Relation: Definition of public relation, routine public relations activities, consumer relations. Protocol, Diplomatic etiquette, formal introduction, table manners, team building, crisis management & time management.

Computer Typing Practical Test(TM I)


Typewriting Test will be as follows (4 Jobs) MODULE - I: JOB - I a). Speed test @ 50 WPM for 5 minutes : JOB - II b). Excel for 30 minutes : JOB - III c). MS-Access / Letter Typing (MS-Word) : JOB - IV d). Manuscript or Power point Presentation for 30 Minutes :

In Speed test @ 45 WPM, award 1 mark for a net speed of 45 WPM. It means trainee will get 45 marks in this Job if they are having a speed of 45 WPM. This is desirable with a view to give credit to those, whose speed is above 45. Deduct one mark (1) for each mistake for Job I, II, III, IV. The marks obtained by a candidate in each of the above four Jobs will be added together in order to determine the total score. In case a candidate passes in Speed Test with a net Speed of 50 WPM & above, a special mention to this effect will be specifically and essentially made in the final award list/marks sheet certificates in addition to the marks occurred in this practical.

TESTING AND EVALUATION SCHEME


SHORTHAND 1. The shorthand practical test will consist on:a) Speed test of 5 minutes duration @ 90 wpm. b) Business letter of 2 minutes @ 90 wpm. Paper will be dictated either by the concerned Instructor or by the External Examiner with mutual understanding. If it is to be dictated by the External Examiner at least two (1) trial passages should be given to the candidates to get familiar with the voice and the pronunciation. Ten minutes will be allowed for going through the notes in case of 90 WPM dictation passage and five minutes for letter. Maximum time allowed for transcription will be 45 minutes in case of 90 wpm. dictation passage and 20 minutes for letter. a) The transcription shell be done on the Computer in double space and on one side of the A4 size paper. b) Candidates should submit their shorthand notes along with the transcription. They should also sign at the bottom of each page of the shorthand notes and the transcription. AWARDING MARKS: Shorthand Practical paper will consist of 120 marks. Allotment of marks for speed passage @ 90 wpm, and marks will be 80 and 40 respectively. MARKING OF PAPER: a) Speed Passage @ 90 wpm: I) Deduct mark for each of first 20 errors. II) Deduct 2 marks for each of next 11 errors

It mean a candidate committed 7% error i.e. 32 error. In this paper of 450 words dictated @ 90 wpm will secure minimum pass marks i.e. 60%, after deducting 32 marks for 31 mistakes. Hence trainees score will be 48/80 marks (60%). For mistakes exceeding 7%, 1 (one) mark for each consecutive error may be deducted. b) Letter: A standard deduction of 2 marks for every error committed will be made.

NOTE: 1. The marks obtained by a candidate will be sum total of two jobs. 2. In case of any clarification or dispute on this account the examiner may have discussion with the Instructor of the Unit or the Head of Section/Head of Institute.

Content Details:Fundamentals of Financial Accounting features of Tally grouping of accounts grouping in Tally reserve groups function keys procedure of accounting in TALLY structure of Tally screen methods of maintaining accounts in Tally creation , alteration, selection, shutting and deleting the company. TESTING AND EVALUATION SCHEME

In this paper of 500 words dictated @ 100 wpm will secure minimum pass marks i.e. 60%, after deducting 40 marks for 35 mistakes For mistakes exceeding 7%, 2 marks for every error committed will be made. b) Letter: A standard deduction of 2 marks for every error committed will be made.
