Memorandum Date: February 3, 2012 Topic: Initial Project Management Overview Team Members: Joseph Papciak, Sakol Wongsaroj,

The Wellspring School has received a large donation of servers and networking equipment. In order to potentially utilize this donation, Wellspring will need to determine if they are capable of using the machines and what will be required. Our team has been tasked with analyzing the current state of these donations and determining exactly what is required for our client to utilize them. Our team is focused on the following aspects: Hardware requirements Software requirements Power consumption Running costs

Since our team has no budget, our final product will consist of a paper write up analyzing the current state of the donations and what will be required to initially and continually maintain the server racks. In the event the donations seem unusable or too costly, alternatives to properly remove the donations will be suggested. We will be coordinating with a separate finance team as well as another team assisting in the inventory process. The project will be deemed successful when the client (Wellspring School) is either successfully utilizing the servers in a manageable method, or the servers are no longer being housed at Wellspring. Project Scope The scope of this project entails several different steps. The first step is that our team will need to gather information about the equipment. We will inspect the equipment for any obvious defects or faults and record information such as model numbers and power consumption for each individual piece of equipment. Our second step is researching the equipment. The team will determine the age, market value, power consumption and whether or not spare components can be sourced for each piece of equipment. Ideally, we would also like to get hands-on time with each piece of equipment and conduct various benchmarks to determine the longetivity and performance where applicable. After research and analysis is completed, our final step is collating our findings into a report to present to Wellspring Studio School. Our first priority with this report is, with assistance from the financial team, determining whether the client can support and maintain the equipment. In addition to presenting our findings, we will propose solutions to the client in dealing with equipment deemed either faulty, redundant or unnecessary. Challenges and Constraints As far as challenges are concerned, there are several obstacles that our team has forseen. The largest challenge is that we currently do not have an environment for testing the equipment in regards to power consumption. The equipment is currently being held in a storage facility. Wellspring does not have an office or a central location where testing could be conducted. We anticipate that Wellspring will not have proper accomodations for testing this semester. Our proposed solution is to research power consumption

based on the manufacturers specifications, calculate the cost of running the equipment based on current utility rates from the City of Tallahassee, and deliver the following in a report. Another obstacle is that the equipment is estimated to be about 5 to 7 years old. Outside of inspecting the equipment for any obvious defects, we have no way of judging how fuctional the current equipment is until accomodations suitable for testing are found. As part of developing a contingency plan, acquiring backups for hardware such as hard drives is crucial for maintaining a server. The hardware in equipment such as the blade servers might be too old to source for a reasonable price. Utlizing our research, we will use a variety of sources such as eBay and Goodwill and attempt to locate the hardware. Should a piece of equipment be deemed too old to reasonably maintain, we will then recommend the client to either sell or dispose of the equipment in question.
