CONSTITUTION
The youth choir shall be known as THE MARIAN CHOIR The motto of the choir shall be UNA VOCE! UNA FAMILIA! UNAQUE CANIMUS The slogan of the choir shall be UNA VOCE! The response to the slogan shall be UNA FAMILIA! The Patron Saint shall be known as Blessed VIRGIN MARY The Feast Day shall be ASSUMPTION OF THE BLESSED VIRGIN MARY (august 15) The choirs colours are BLUE AND WHITE MISSION To bring Christ or to evangelise to individuals through Christian and catholic choral music. VISSION To sing exceptionally to inspire and win souls for God while developing the talents of members and to be recognised as one of the best and outstanding Youth Choirs in the Catholic Church of Ghana. AIMS/OBJECTIVES I. To contribute to the musical, artistic and physical life of the church. II. To promote and encourage choral singing among the members of the church (internal and external). III. To provide a forum for young parishioners to learn and interact as a group, supporting one another and solving problems as a team. IV. To educate the youth more on catholic doctrines. V. To provide a platform for the younger generation and the youth to identify and improve on their talents. ARTICLE I RULES & REGULATIONS Section 1: Membership a. Membership is open to young men and women between the ages (16 and 30 years) who have the love to sing for a full season and who will abide by the rules and regulations of the society. b. Application will be made open every ten(10) months for new membership c. Applicants must fill out an application form available from the secretary d. A committee set will vet and analyse such applications, and selection shall be made by same committee based on the performance of the applicant in an interview. e. Vetting and selection of applicants into the choir shall be done within two months. f. The choir master shall audition new members to determine and assign them their appropriate voice line.

g. Members shall pay their monthly subscription or dues within each choral year. h. Members shall be re-auditioned by the Choir Director every choral year. i. The choir master together with the executive body shall have the power to declare the maximum number of members in each voice line. j. Any member whose attendance or behaviour is noted to bring the choir into disrepute shall be disciplined, be advised by the executive body to resign, or dismissed from the group depending on the gravity of the issues at stake. Section 2: Attendance at Rehearsals a. Rehearsals shall be organised twice in a week (Fridays and Saturdays) at the church premises. If for any reason there will be a change in any of the rehearsal days or number of Days for rehearsals in a week, the executives will communicate duly to all members of the choir. b. A member shall be suspended from participating in any concert or competition if he/she misses three rehearsals sessions prior to the programme. c. The choir master may request for extra rehearsals before a special event in consultation with the executive body. d. Punctuality: members must arrive at rehearsals on time as the warm up or voice training is very important to the overall performance of the choir. e. If a member is unable to attend a particular rehearsal, the choir master and the executive body must be notified through their respective voice line leaders or the secretary. f. If a member would be absent for a one-month period or more, the executive body and the choir master must be informed in writing at least a month before the time and a week, in emergency cases. g. Members who shall be late for rehearsals without prior notice shall pay a fine as will be determined by the executive. h. If for any reason a chorister wishes to quit the choir, a formal letter should be written to that effect at least a month three months before.

ARTICLE II EXECUTIVE ELECTIONS, DELEGATIONS & RESIGNATIONS Section 1: Executive Election a. Elections for executives shall be conducted annually (July) by the electoral committee that will be formed by the executive. b. Any person wishing to stand for an executive position should be a practicing Catholic, should have been a member of the choir for at least a year.

Section 2: Delegations a. A member could be delegated by the executive body in consultation with the Choir Director to occupy the position of an inactive executive or a vacant position with the consent of that person and approval of members of the choir. Section 3: Resignation a. Any executive member who wishes to resign must give the executive body and the electoral committee at least six (6) weeks prior notice with tangible reasons. b. The notification should be a formal one (written).

ARTICLE III CHOIR EXECUTIVE BODY 1) President Functions Coordinates the activities of all other executives of the choir. Presiding over all general and executives meetings of the choir and the executive body. Performing all executive roles in the choir. Ensuring members of the choir abide by the constitution. Ascertains with the help of other executive body the focus on the vision and mission of the choir. Establishing and maintaining the cordial relationships with other groups and singing groups in the church. Final decision maker of all controversial issues. Coordinate with the Choir Director and the Pastoral Council in all matters in relation to the development of the choir 2) Vice President Functions Performs functions of 1 executive position in the absence of the president. Oversees the work of all committees formed. Performs all executive roles in the choir. Ensuring members of the choir abide by the constitution. 3) Secretary Functions Writing and keeping proper records and proceedings of all meetings. Execution of all choir proposals and decisions

Maintaining proper attendance record of members during practices and making it available for use at all times. Fulfilling other tasks as delegated by the president or the Choir Director.

4) Financial Secretary Functions Collection of monthly development dues Maintaining accurate financial records Rendering financial report of the choirs account at the executive meetings and a comprehensive financial statement at the end of every quarter. Ensuring all expenditures are approved by the president Ensure the prompt payment of the Choir Director and others who need to be paid 5) Public Relations Officer / Organiser Functions Responsible for the publicity of rehearsals and activities to members of the choir. Responsible for the publicity of the activities and programs of the choir to the general public There will also be voice line leaders who would be responsible for discipline in their respective parts during rehearsals and also communicate with the executives on issues concerning the welfare of members of their group. ARTICLE IV Section 1: Formation Of Committees a. The executive body shall form the following committees and any other committees as and when the need arises. Welfare committee Disciplinary committee Anniversary committee Vetting committee Dress code committee Instrumental Committee Electoral Committee b. With the exception of the electoral commission all other committees shall be four member committees c. The committees shall constitute a representative from each voice line or part. Section 2: Duties and Roles of Various Committees Welfare Committee

Subsection 1:

The committee shall be responsible for the well being of the choir and its members. Subsection 2: Disciplinary committee This committee would be responsible for discipline in the choir, and also ensure that members abide by the constitution, code of conducts and values of the choir at all times. Subsection 3: Anniversary Committee The committee shall be in charge of planning and organising the anniversary of the choir. Subsection 4: Vetting Committee The committee shall be in charge of vetting application forms of new members and selecting new members into the choir. Subsection 5: Dress code committee The committee shall be in charge of selecting the appropriate attire for every function Subsection 6: Instrumental Committee i. The committee shall see to it that materials and instruments used by the choir are managed properly ii. They shall advice the executives of the materials and instruments useful for the choir at any point in time.
