TIME MANAGEMENT

Definition:
Time management is the act or process of planning and exercising conscious control over the amount of time spent on specific activities, especially to increase effectiveness, efficiency or productivity. Time Management is about controlling use of your most under - valued resource basically we can say that time is money so we have to efficiently and effectively manage our time so time management allows us the following aspects which are given below

Time management allows you:


Eliminate wastage. Be prepared for meetings. Reduce excessive workloads. Monitor project progress. Allocate resources appropriate to a tasks importance. Ensure that long-term projects are not neglected. Plan each day, week, month or quarter efficiently.

Time management has five main aspects:

Managing Yourself:
Basically time management is all about self-management if you perfectly mange your time you can easily manage yourself. Dealing with other people: In our life we have to be socially responsible toward other people, if we manage our time well we can easily deal with peoples. Your Time: Your time is very important and how you utilize your time well is still a question mark when someone poorly manages their time so time management allows you to effectively manage your time.

Getting Results: The first 4 all interconnect and interact to generate the fifth results when you efficiently manage your yourself and your time you can get positive results

Types of time:
There are two types time which are given below: 1) Fast time : When you are absorbed in, or enjoying an activity or when you involved yourself in any task that suits you then it is a portion of a time which runs fast e.g a manager have 2 hours to complete his project when he saw clock it ticks 9 am and second time when he saw clock he noticed that he was ran out of time. 2) Slow time : When bored with an activity or having a bad time, we personally feel that time is running slow but its all about perception basically when we lose interest or focus about work then we it automatically creates a slow time perception e.g. like a student who has no interest in maths subject pretend to behave like this. Now there are some of negative aspects toward time when we over estimate or under estimate our time.

Effects of Estimating Time Incorrectly:


Under-estimation of time Stress due to committing to too many tasks Poor quality output Deadlines may be missed Over-estimation of time Stress due to people pressing to have activities completed Poor quality output Deadlines set may not match requirements Hurdles in time management: 1) Lack of commitment: When there is lack of commitment about manage your time you cannot succeed in your life. 2) Procrastination o fear of failure or success o low self-esteem o Lack of prioritization skill.

Procrastination:
Procrastination is a major obstacle that can prevent you from practicing good time management skills. It means postpone actions and It is the constant pushing aside of tasks that need to be completed and is the archenemy of all students. so how to get rid of from procrastination there are many ways which are given below: Ways of overcoming Procrastination: 1. Make the Task Meaningful Ask yourself why the task is important to you and what it has to do with your long-term goal.so if you make your task meaningful you can easily find some sort of success factor toward step to achieve your long term goal 2. Take the task apart Sometime an assignment can appear to be overwhelming. Breaking large assignments into manageable parts will help. Set dates to work on each of the pieces so that each task takes equal work load. Book writing at its full scale is an enormous project and can be overwhelming. However, when I break it down into phases such as (1) Research (2) Deciding the topic (3) Creating the outline (4) Drafting the content (5) Writing Chapters #1 to #10, (6) Revision (7) etc, suddenly it seems very manageable. What I do then is to focus on the immediate phase and get it done to my best ability, without thinking about the other phases. When its done, I move on to the next. 3. Keep yourself organized Having everything you need right at your fingertips will save a lot of time when starting a project. 4. Be positive Avoid speaking negatively about the task and your ability to move toward completion. Instead, by positive. Tell yourself, I know that I can finish this work. 5. Plan a reward Do something for yourself that you would not normally no, but withhold the reward if the task remains incomplete.

6. Just do it Complete the task The moment you find yourself procrastinating, complete the task; then, you wont have to think about it anymore. 7) Tell others about your goals. This serves the same function as #6, on a larger scale. Tell all your friends, colleagues, acquaintances and family about your projects. Now whenever you see them, they are bound to ask you about your status on those projects. For example, sometimes I announce my projects on The Personal Excellence Blog, Twitter and Facebook, and my readers will ask me about them on an ongoing basis. Its a great way to keep myself accountable to my plans.
8) Change your environment.

Different environments have different impact on our productivity. Look at your work desk and your room. Do they make you want to work or do they make you want to snuggle and sleep? If its the latter, you should look into changing your workspace. One thing to note is that an environment that makes us feel inspired before may lose its effect after a period of time. If thats the case, then its time to change things around.

Time management skills:


There are four core time management skills which are given below: 1. a mindset of Self-Management not Time Management

2. Use a structure 3. Whole in one 4. Use a trigger 1) A mindset of Self-Management not Time Management:
The term Time management allows us to think that we manage time -- BUT time cant be managed! The typical mindset on Time Management is about applying techniques and tips things outside of you. But the first step you must take is to realize you have to manage yourself (self-management) for any approach to work. Time is just 24 hours a day. 1400+ minutes every day. The key to creating an extra hour a day is changing your mindset to SELF-MANAGEMENT! Without self-management there is no such thing as time management skills.

Use a structure:

One thing very clear, every effective person has some form of structure. By structure I mean a way that you look at a block of time. Usually this is a week, though it can be a month, a day, a

quarter or a year depending on your style and your role. Structure allows you to gain a sense of control and yet is also INCREASES flexibility.

3) Whole in ONE:
Every person I speak to today has multiple places for notes and appointments. This is one sure way to waste your time. Your whole life needs to come together as one life and you need to SEE IT in your structure as ONE Life. Get your WHOLE life in to ONE place.

4) Use a trigger:
One of the biggest challenges people face when trying to use a structure is to remember to use the structure. This is where I have found a trigger makes a massive difference. So what is a trigger? It is something you already do that you link to your time structure. The most common tool for creating a structure is a diary. People who have not been using a diary much struggle to remember to use and refer to the diary every day. Use your trigger to remind you to use/refer to your diary or time management system.

Time management strategies:


A strategy is a plan of action designed to achieve a vision, there are some tools which can help in order to manage your time effectively. 1) TIME TOOL #1 A Calendar Manage your calendar according to your task is an effective strategy in order to built strong view because it gives Long-range perspective BIG picture Due dates Test dates Holidays, vacations, special events Target date 2) TIME TOOL #2 A Weekly Schedule: You have to divide your time in a block so by achieving small goals you can easily move toward your long term goal so it is necessary your weekly schedule should be Balanced Study time 2 hours per week per credit hour Regular time-regular place Utilize odd hours Limit No more than 2 hours per course at one time Trade time Cumulative review for each course

3) TIME TOOL #3 To Do List : List everything you need or want to get done. Because you can easily remember what task have to done first better to prioritize yourself Set your priorities. o A - Must be done o B Should be completed if at all possible o C Low priority, completed only after doing As and Bs o Prioritize tasks within each group. 4) TIME TOOL #4 Sample Assignment Record : Assignment record is necessary because first you have to Estimate time needed Library research estimate and add 2 hours Count back from due date Consult Master schedule Use the time 5) TO CRAM OR NOT TO CRAM: AVOID CRAMMING o Think about the connotation of the word cram. o Ineffective study method o Inhibits storage of information in your long-term memory Because learning over a period of time is more effective than cramming. You have to understand the criteria of the working material, cramming is just a wastage of time . Conclusion: Time management allows you to effectively manage yourself and your long term goals which you want to achieve in a lifetime .Better try to avoid the procrastination which means postpone time because it is the main hurdle in a time management. Every time you do not need to be a perfectionist, work smartly and do the task. Identify your responsibilities, prioritize, schedule yourself and your tasks and at then just do it. Use regular block of time for an activity Dont try to achieve every goal you want to achieve, achieve only the goals you need and stay focused on the important things in life.
