OPENING CHAIRMAN : A very good morning to everyone. First of all I would like to thank everyone for attending todays meeting. Before we start our meeting today, I would like to ask if there any absentees today, Miss Mimi? SECRETARY CHAIRMAN : No chairman, all are presenting today. : Okay, thank you Miss Mimi for your report.

ISSUE 1: EMPLOYEE LESS MOTIVATE CHAIRMAN : Lets we proceed with the first agenda regarding to the employee problems. HR manager, do you see any problem in your line-staff? If so, please proceed. H/RESOURCES : Lately, I saw our employee not enough enthusiasm. You guys are doing the work weakly. Theres no cheerful in the work, not like their first time come into this pet house. The employees are not showing full of love to the pets. Is there any problem or crisis arise in the community that not update to me?? CHAIRMAN : Does the manager try to communicate with employee, to know what the actually problems that employees face during their working in Pet House?? Are you guys having problem with the salary? FINANCIAL : No, they do not have any problem with the salary, maybe we can cheer them up by giving bonus based on performance. So, they will put their effort to perform well. H/RESOURCES : Yes, we should increase the performance of the staff. So that this will also give positive impact on the production. Miss Zarfari, is there any extra bonus for our staff this year? Maybe you can detail out our companys financial position. Let me check our company balance. Hmmmm, actually we have problem with FINANCIAL : capital. Since our sales drop because of the poor services from our staff, we need to put aside about bonus, and focusing more on how to get additional capital. CHAIRMAN : Okay, that capital problem we will discuss it after this. Now, back to the staff

problem, we really have to solve this current problem. The manager should not just turning blind eye to poor staff performance because the problems can spread to others. And this is not a positive impact to build in this company. And this also will drop the sales immediately. SECRETARY : From my experience, manager of each department has to sit down together with their line-staff to hear any problems that arise within each department. Does it privately, maybe can have a high-tea with them so they will not feel awkward, and this also avoid from humiliating the staff for their mistakes or problems. This will avoid any misunderstanding in each department. It should be transparent in our company. When the problems arise earlier, it should be settle earlier. MARKETING : If the problems are because of lack of skill or knowledge, I think HR manager should send the employee to training to improve the quality of work. It can be injob training or off-job training. We can cut-off the cost if we send them in-job training, we just use senior staff to be a mentor to their junior. We also can send them outside but this will incurred some cost. FINANCIAL : Off course, some senior can be the mentor of them. Yeah thats true, we dont have to incur more cost to send them for training skills since we have a good and excellent senior to guide and give training to them. CHAIRMAN H/RESOURCES : So, Miss Diana, can you deal with this and prepare for the staff training? : Okay, Ill deal with It and will prepare everything as soon as possible since the senior staffs are currently busy handling some other tasks. SECRETARY I also think that they need to send for training session. Because when training is going, the people who manage the session will see how they perform and can take any action immediately when things go wrong. This also will allow the employee to give any immediate feedback in training session. MARKETING : Yes, you also can use the feedback to improve any of the result so that this will improve also the companys performance. See what is wrong, and you will evaluate why this happen, and take the action to prevent it, so that it will not happen again next time. CHAIRMAN : Okay thats good. I can see your enthusiasm to bring the condition back to the basis and improve it better. Thank you for your idea and this will help our

company a lot because the performance of the company will depend on the staff. When the staff happy doing their works, it will attract more customers, which is good. We are running for better quality of service, not for only money. We should maintain the customer relationship.

ISSUE 2: DECREASE IN SALES

CHAIRMAN

: About the sales, how shall we increase our current sales that drop earlier? Anyone of you can explain and gather some idea on this issue?

MARKETING

: I think we should increase a marketing activity such as advertise in business magazine.

FINANCIAL

: I agree with Miss Amira. In my opinion; we can also use a low price in order to increase the number of customer for our Pets House.

CHAIRMAN

: Ok. Then, I think the suggestions from both of you are reasonable since our company never make any discount yet.

SECRETARY

: Yes. I agree with chairman. Why dont we choose any date to make discount in order to interact a new customer?

H/RESOURCES

: It is a good idea Miss Mimi. And I think our staffs is also play as an important role in order to make this event success such as spread the news throughout the flyers.

CHAIRMAN

: Ok. I think at that time is most suitable date is during school holiday on this end of the month. Is it ok?

MARKETING

: Normally, children want play their pets during that time. I think that is not suitable to do the events at the moment?

SECRETARY

: But, I think date time is most suitable because of majority of them will return to the village and on holidays, so our pets house will be a main attraction to them.

CHAIRMAN

: Yeah. I think this is better to do that event. Then we continue with the second agenda.

ISSUE 3: NOT ENOUGH CAPITAL

CHAIRMAN

: Ok, seems like we already have the solution for decreasing in sales. Now, we go to our next problem. Ok, as all of you know, our company has face decline in sales, and this situation actually has led to capital reduction in our company. So, anyone of you have any suggestion to overcome this situation?

MARKETING

: (Raise hand) why dont we make loan to gain our capital? I think we can make loan from RHB bank because the interest is low which about 4.8% is only.

HR

: Yes, I also agree with Miss Amira idea, which is we can gain our profit from loan. But, I recommend us to make loan at Bank Rakyat. As we know, Bank Rakyat is cooperation bank, and the interest is low, about 3%-4.5%.

FINANCE

: Sorry for interrupt Miss Fika. I wonder about the balance of our authorize share. How much is it left? I think we have balance about 100,000 rights?

CEO

: Ok, Miss Zarfari, this is our balance of authorize share. As you can see, we authorize our share at 200000 units and the balances are 100000 units. Is it any problem Miss Zarfari.

FINANCE

: Thank you Miss Fika. I suggest why we dont issue our share to gain capital. By that way, we dont have to bare interest cost. We only have to pay our shareholder in term of dividend when we make profit.

H/R & MARKETING CEO HR MARKETING CEO

: Nodded. : If that way, any of you willing to buy the share? : I think I would like to buy it : Me too. : Okay, if that way, those that would like to buy our share can have the form from the secretary.

SECRETARY

: Yes chairman.

: Ok, I think we already have discussed all the agenda, which are about our company problem. We also have decided some steps that we need to take in order to make improvement to the problems that arise.

SECRETARY

: Yes chairman. I think all of us already know what they are supposed to do in order to improve our company.

: Yes (nodded). : If that way, we can dismiss our meeting now, and Miss Mimi, dont forget to prepare the minute for this meeting ok.

SECRETARY CHAIRMAN
