Variants: Set, Save as, Retrieve Filtering function Drilling function Sort function Properties function Back to start function / Back function Save, Retrieve, Refresh report
Variable selections allow you to set parameters on the data set that displays when the query is executed. Running a report without selecting variables may result in delayed processing times as BW accesses an enormous amount of data. Variables allow you to select the data displayed in the report. When you execute some queries, you are prompted to enter a select certain variables for the report. The mandatory variable fields are identified by (*) at the end of variable name. For example, Company Code (*), Currency (*), Exchange Rate Year (*)
A variant is a set of variables whose values have been pre-selected and saved by the user. The variant can be used for a specific purpose without the user typing in all the values. Because you may refresh this query frequently, you would save this characteristic
as a variant so it makes it easier to pull your report.
The Save as New Variant function is useful if some of your variables will be constant every time you run the report. By saving those selections as a variant, you can retrieve the report with the same settings at a later date.
After you click the Save as New Variant icon, a SAP ABAP screen appears to
prompt you for information about the variant you wish to save.
1)
2)
3)
Enter a variant name on the Description (*) field. For example, enter VN Secondary Sales Progress Click on the Save at user variant check box . Click on Save icon to complete the save variant process..
2) Click on selected variant by Highlight the variant that you wish to load. 3) System will display all variables that saved by this variant name.
3) System will pop up window to confirm this variant deletion. Click Yes to complete the delete variant process.
To refresh report with new selection variable, you can use Change Variable Value function from BEx menu tools bar. This function also ensure that you are viewing the most current data. System will pop up Select Values for Variables screen for enter value.
The Filtering functions in BW allow you to further limit the data displayed in your reports based on the Characteristics or Key Figures available from the reports.
You can restrict the data in your report to single or more filter values, a range of values, or a combination of both. The filtering functions available are: 1) Keep Filter Value 2) Keep Filter Value on Axis 3) Select Filter Value 4) Filter and Drill Down by function 5) Create Condition 6) Remove Filter Value
You may want to view additional details about certain reports that are not originally displayed when the report was first executed. This additional detail is called a free characteristic. By click on Filter icon, system will expand list of free characteristic that available for user to drill down/drill across information as user view.
Navigation
The steps are: Right-click on the characteristic in Filter > Select Filter Value
available value for filtering (obtained from master data) Add filter value
The Select Filter Value function allows you to filter data by choosing value from list or directly key in. The report will only show characteristic /Key figure that associated to filter value. In this example, we want to Select Filter 7 figures in the Key Figure then report will show only 7 facts and remove any records not associated.
The Keep Filter Value function allows you to filter data by single values already displayed in the report. The report will only show characteristic /Key figure that associated to filter value.
Right Click on Query cell
In this example, we want to Keep filter on Gross Sec Sales (TUR), so the report Actual will only show one value of Gross Sec Sales (TUR) without Characteristic and remove other not relevant.
The Keep Filter Value on Axis function is same result as Keep Filter Value function but the only difference is this function still show the Characteristic that you filtering on the report.
Right Click on Query cell
. In this example, we want to filter on Gross Sec Sales (TUR), so the report Actual will only show one value of Gross Sec Sales (TUR) with Characteristic and remove other not relevant with GSS.
Back one Step or Undo 1 step: Right click on Back One Navigation Step
The Filter and Drill Down by function allows you to filter data and the same time also drill down by characteristic. In this example, we want to filter and drill down on Gross Sec Sales (TUR) by Banner (m.d). The result of this function will not show Gross Sec Sales (TUR) column but show new column is Banner (m.d.).
To remove a filter from your report, use the Remove Filter Value function. characteristic 1) Click on the characteristic value that you want to remove the filter. 2) Right click to show BEx menu function and Choose the Remove Filter option
Notes: Also can right click from free characteristic area to select the Remove Filter option.
The Create Condition function allows you to filter data with condition. The report will only show values that matched with selected condition.
The Convert to Formula function allows you to use the current data with normal excel format. The report will only show values which you has selected before convert to excel condition. User can not use the filter by BW.
User can change the level of information displayed on the report as per characteristics given on the Filter Pane. This functionality is called drilldown.
By default, the new characteristic will always be positioned / displayed on the smallest level of details (the most right) of the report.
The filtering functions available are: 1) Add Drilldown According to Rows 2) Add Drilldown According to Columns 3) Add Drilldown According to Function 4) Remove Drilldown Function
Add Drilldown According to () in Rows Displays the characteristics along the row axis, which displays the values of the characteristics in the rows beneath the column header. In this example, we want to add the Distributor free characteristic in the row so the division information displays on each row
Add Drilldown According to () in Columns Displays the characteristics along the column axis, which displays the values of the characteristics as the column header In this example, we want to add the Banner (m.d.) free characteristic in to columns so the division information displays on each column header .
The Add Drilldown According to function gives you greater flexibility when deciding where you want to place the characteristic in your Results area. In this example, we want to add drilldown the Category follow Material option.
To remove a characteristic from the Results area of your report, use the Remove Drilldown function. When you remove a characteristic using this function, the data that was contained in the removed column is summarized in the Key Figure columns. In this example, we want to remove the Category (m.d.) characteristic from the report
Another option that can be used to change the way your report displays is the Swap [...] with function. The Swap [...] with function replaces any characteristic in your result area with another characteristic or key figure. In this example, the report displays with the Material column and user want to replace this Material with Key Customer 1(md) characteristics
Drag-and-Drop shortcut To swap/exchange object, you can drag the object to other object you want to swap
Using the Swap Axes function allow the user swap all the columns to rows and opposite. In this example, the characteristics are in the rows and the key figures are in the columns and you choose Swap Axes, the key figures are displayed in the rows and the characteristics in the columns.
The BW Sort function allows you to sort data in ascending or descending order according to Key (numeric) or Text (text description). This function allows you to sort data in one of the following orders: Ascending or Descending
1) Click on the characteristic you wish to sort. 2) Right click to show BEx menu function and Choose the Sort () Sort Ascending by or Sort Descending by options.
