SAP Course Description

This course is designed for new users of SAP R/3 or ECC 6.0. It provides the users with basic information on how to logon and navigate within SAP R/3 or ECC 6.0. As users progress in taking role specific ERP training, more advanced navigational topics will be covered. Prerequisites: Basic computer / Windows skills LAN/Wireless/Remote Desk top User Name and Password. SAP log on ID & password

What Is SAP?
SAP stands for System Application and Products. SAP R/3 is the name of the integrated software package that has been implemented here SAP R/3 is made up of individual, integrated software modules that perform various organizational system tasks.

SAP Terminology
Environment
A completely self-contained version of the SAP database, designated for a specific purpose. An environment may contain multiple clients although when your system is live, users will work in a single production client. At , we will have DEV, QAS, and PRD environments.

Client

A self-contained unit in an R/3 system with separate master records and its own set of tables. All data in R/3 is stored in a series of tables. In the DV2 environment, we will have a number of clients. (010-Sandbox, 020-Config, etc.)

Session

A separate window that allows you to process a specific task. When you log on to SAP R/3, a session is opened. You can have up to 6 sessions opened at once. (Use ALT and TAB on your keyboard to toggle between multiple sessions.).

SAP Terminology
Transaction Code
A unique command containing letters and/or numbers - that bring a user directly to a transaction.

Further terminology can be displayed in the on-line glossary. This is accessed by the menu path (explained shortly) of Help > Glossary within SAP R/3.

Logging on to SAP
The SAP Logon PAD will appear. This will connect you to a specific SAP environment. Enter the necessary data to log on to your companys specific SAP system.

Your SAP logon pad will show only the environments that you have been set up for and granted access to.

Double click on the environment choice of the system you want to enter. (You may only have one choice showing).

Logging on to SAP
Enter the appropriate client, your SAP User ID, and password. Use the Tab key to move from one field to the other. Hit the ENTER key when

done.
The default language of R/3 is EN (English). Only enter the language code if instructed to do so.

When you log on for the first time you will be asked to reset your default password.

Practice 1 - Logging on to SAP

Double click on the environment choice.

Enter the appropriate client, your SAP User ID, and password.

If prompted, change the default password.

The SAP R/3 screen consists of three main areas.

Menu Bar Standard Toolbar Title Bar Application Toolbar
Menu Bar - contains menus for the functional and administrative areas of the system, additional functionality within a transaction, and it also displays standard Window buttons such as minimize, maximize, and close. Standard Toolbar - contains the Command field and the standard SAP Toolbar buttons. These SAP buttons provide quick access to functions you use on a regular basis. If a Toolbar button is gray, it is not available for use on that particular screen..

Application Toolbar - The toolbar contains pushbuttons that offer users fast access to taskspecific functions. The buttons will change according to the task that you are currently in. Normally, the same functions can be accessed through the menu bar as well.

Title Bar - The title of the screen that you are working in is displayed here.

SAP Navigation - Menu Bar

The menu bar changes depending upon the transaction that you are currently executing. From the Easy Access Main menu, you will be able to do administrative functions.

From a transaction menu, you will be able to perform additional functionality within that respective transaction.

Note: System and Help are universal menu choices that appear on every screen.

Select the particular task by clicking on one of the items in the menu. This will open up a drop down of menu transactions. Select the item you want by clicking on it. If the item has an arrow to the right of it, further selections can be made when you click on that item. If the item is grayed out, that task is not currently permitted.

The Execute icon is clicked after some conditional selection data is entered into a table or group of fields. This causes the program to run based on that data.

Selection of task specific functions, reflecting the users working environment, that can be displayed when the user logs on.

Main menu in the R/3 system. This is the default menu upon
logging on unless the user changes their default.

Internal R/3 mail and file management system not utilized for the
implementation.

Add to / Delete from / & Change Favourites Ctrl + Shift + F6 Keys that permit users to add, delete, or change their respective favourites.

Keys that permit users to move favourites up or down within their respective favourite menu.

Note: Many more icons appear on the Application Tool Bar depending on your current application. Learn to utilize them as they provide shortcuts over the menu transactions.

SAP Navigation - Command Field

You can use the command field to enter transaction codes (TCODE) that take you to a system task without the menus.

Sometimes the Command field is closed by default.

To open it, click the triangle pointing to the right to the left of the Save button. To use it, type the TCODE in the blank field and press Enter. The TCODE is not case sensitive.

How to determine TCODES?: 1. When you are in a transaction, click System > Status within the menu path to get this pop up screen: 2. From the STATUS BAR which is discussed shortly. 3. Within the NAVIGATION MENU by changing your default settings to display the TCODES. This is done by:

On the menu bar click Extras >Settings.

The TCODE is here. The rest of this pop-up screen contains considerable technical data that is not relevant to the current lesson.

The Settings options screen will appear. Click on Display technical names then click on. Now, whenever you select items within the navigation menu, the TCODE will appear in the menu path.

If the TCODE, typed into the Command Field is preceded by:

/O or /o

The current transaction remains in the current session The new transaction is started in a new session

The current transaction will end The new transaction is started in the same session

If the following is typed into the command field without a corresponding TCODE

The current transaction will end The screen will return to the SAP Easy Access menu

A window pops up allowing the user to review the current open sessions, generate a session, or end a session. The current transaction remains in the current session

SAP Navigation - Navigation Area

You can expand and collapse menus in the navigation area by choosing the dropdown arrows (triangles) to the left of the menu items. When the arrows point to the right, further menu items can be opened by clicking the arrow. When the arrows point down, you have opened all relevant items for that menu path. When a row does not have an arrow next to it, the row represents an executable transaction.

The Status Bar is divided into two areas. These areas display system messages and other important information.

At the left of the status bar, system messages are displayed.

The right side of the status bar contains three fields: one with server information, the other two with status information.

Common message icons. The status bar displays system messages including errors, warnings, document numbers, document messages or instructions such as "Make an entry in all required fields. In most cases, you can double click directly on the message to get a more complete explanation of the error or warning.

SAP Messages
There are 4 types of messages. S - Success: These messages are displayed in the status bar on the same or next screen. The message has no influence on the user's work, other than providing completed document numbers and informing about the successful execution of system functions. I - Information: These messages provide important information to the users. They are typically displayed in a separate dialogue box. W - Warning: These messages interrupt the processing allowing the user to make corrections. Changes are not required in order to proceed. These messages can appear either in the status bar or in a separate dialogue box. A warning message, as opposed to an information message, needs to be confirmed by the user, by pressing the ENTER key. E - Error: These messages interrupt the processing and will NOT allow the user to proceed until corrections are made. These messages will appear in a separate dialogue box.

The right side of the status bar contains three fields: one with server information, the other two with status information.
The information shown on the status field is also useful when reporting problems to the Help Desk.

To hide (or display) the status fields, choose to the left (or right, respectively).

To display the following system information, choose in the first status field: System, Client, User, Program, Transaction, Response time fields.
You can change the default display of your status by expanding the selection and then clicking on the line that you want as your default.

User Address, Defaults & Parameters

SAP provides you with the ability to change some of the defaults that have come with the system. From any menu within the system, select System from the top menu line then. Select User Profile Select Own Data other.
