The Primary functions of Odisha State


Archives are:
collection, Preservation, management, publication and educational use of
records.
These functions are performed according to the requirement of the
administrative as well as research scholars and also it plays a significant
role for promotion of States historical research.
E-Catalogue or e-Abhilekha contains vast collection of Books,
Newspapers, and Publications etc.
If someone want to download softcopies then he/she should Register in
the Registration form then he/she can view/download then files.

e-Catalogue
This module works like an online catalog, where the visitor can
access the archival records like a catalog. The visitor will come to
the portal and when the visitor click on the Archives Links, the
visitor can see each categories archive with the first and last
page to read online. This is for the demonstration of digital copy.
All books & other collection are saved here in cataloging format
according to their subject, year etc, Advance Search engine
facility is also provided for easy to search all archival records.

e-Catalogue/Gazetteers
Gazetteers serve as encyclopedia of a district and of State as
they record authentically economic, social, cultural, physical
climatic condition of the state. Its utility for researchers,
policymakers and bureaucrats is of immense value. Gazetteers
also serve as encyclopedic work for the posterity as it
chronologically and systematically records culture, lifestyle
and other material condition of the state. In line with the
Imperial Gazetteer of India, the preparation of Gazetteers was
taken up as a national project and was designed to bring
Gazetteers.

e-Catalogue/Oral Archives
Oral Archiveis the collection and study of historical
information about individuals, families, important events, or
everyday life using audiotapes, videotapes, or transcriptions of
plannedinterviews of eminent freedom fighters and
dignitaries. These interviews are conducted with people who
participated in or observed past events and whose memories
and perceptions of these are to be preserved as an aural
record for future generations. Oral archive strives to obtain
information from different perspectives and most of these
cannot be found in written sources.

Online Application form for Research Persons


Module

This is an online free to apply application form for the research

persons those are interested to become a membership for researching


in Odisha State Archives office.
Applying through the online form it will save the time and extra effort
and make the easiest way to become a member in the department.
After applying through online, the department will send the
information to the specified responsible persons email ID to verify the
information, once it is approved, the confirmation email will be sent to
the candidates registered email ID.

Main objective is to benefit the common citizen due to following reasons

A common citizen was unable to come to the Archives office at Bhubaneswar to

refer to the records. He/she was ignorant of the availability of these valuable
archival records.
Lack of awareness amongst the researchers and students.
Time consuming in gathering of information for the common man.
The above problems faced by public at large are eradicated by the launching of
the website.
Persons with disabilities can also access all the above.
International researchers across various Universities in England, USA, Srilanka
etc have used to come to Odisha State Archives to view the old records and do
Research work. They were facing various problem in off line mode for which they
have approached Government of Odisha for online view and access the rare
records.

Impact of the project on cost efficiency and user


Department
Anybody with a computer with internet connectivity can access the

portal anywhere at any time. CSCs are working as access points to


facilitate the accessibility of the service to the citizens located at
nearest panchayats.
No travel distance is involved as the CSCs are located nearby their
villages. Students, Researchers across the Globe used to visit the
portal which involves high financial cost. Now this cost is reduced
as it is accessible online.
Now this e-cataloguing system has increased the efficiency of the
department.
It has ensured the preservation of records in digital format.
