MEANING & TYPES OF WRITTEN COMMUNICATION

Written communication:The communication which is performed through any written


document is called written communication. When messages or information is exchanged
or communicated in written form is called written communication. It is a word based
communication system. Memos, letters, reports, notes, email etc. Is used to transmit
meaning in written communication.
Types of written communication: Formal and Informal written communication
Formal Written communication:Official letters,Business letters,Circulars,Notice,Press
reports, Bulletins,House journals etc
Informal Written communication: Personal Letters,Personal Essays etc.
CHARACTERISTICS OF GOOD WRITTEN
COMMUNICATION
• Easy language: Easy language should be used in written communication. The sentences
of written communication must be understandable to the reader.
• Structure: Definite structure must be followed in drafting any written document. Every
written form has its own structure.
• Direct speech: Direct speech should be used in written communication. Indirect and
passive sentences must be avoided.
• Paragraph design: A good written communication bears a paragraph design.
Paragraphing is also important to clear communication.
• Error-less: A well written document must be free from error in both grammar and
language.
• Personal and organizational images: A good written communication bears the personal
image of the writer. It also increases the organizational image as a whole.
ADVANTAGES OF WRITTEN COMMUNICATION:
1. 1.Permanent record:The document of written communication act as a permanent record.When it is
needed,important information can be easily collected from the preserved documents.
2. Effective communication:Written communication helps to make communication effective .It is more
dependable and effective than those of other forms of communication.
3. Proper information: It is a proper and complete communication system.There is no opportunity to
include any unnecessary information in a written document.
4. Easy to verify:The information and messages that are preserved can be verified easily.If there arises
any misunderstanding any party can easily verify the information .
5. Has legal validity: Written communication is acceptable as a legal document.Written communication
has been use as evidence since time immemorial .
DISADVANTAGES OF WRITTEN COMMUNICATION:

1. Slower method of communication : Written communication can be time consuming since it may take
even two or even three days to reach the receiver. By contrast, oral communication is immediate .
2. Leads to too much paperwork : Since written communication is basically done on paper, one may
tend to use it as on an escape mechanism paper free offices remain a dream.
3. No flexibility : The written word is not subject to instant change after communication . Therefore,
conveying an after though may prove very lengthy, and at times even impossible.
4. Red Taoism : Red taiosm is one of the most disadvantage of written communication It means to take
time for approval of a project.
5. Cost in record keeping : It is very difficult and expensive to keep all the records in written
communication .
