Contact Reports or Unit Visits

Purpose of Meeting
• To train each of you individually on your responsibility as a
Commissioner
• Training on what must be done to fill your
assignments in Scouting
• Primary role is to:
– Coach and serve as a “Resource”
– Teach
– “Train/Orient”
– “Report the condition” or evaluate
– This is what Unit visits and Contact Reports are.
• “They register with the BSA as unit commissioners.”
• In order to teach you must also be trained
Goal
• A wise man once said:
“Performance improves when performance
is measured and feedback given.”
• How do we measure performance in Scouting?
• What do we have that helps us measure performance and
provide feedback to Scout Den, Troop, Team and Crew leaders?
• How many golfers in the audience today or basketball players?
• What does the Scorecard or Scoresheet mean to the game?
• What is the scorecard of Scouting? Contact Reports
• Goal: One contact and contact report per month
Responsibilities
• Unit commissioners serve as resources to help Scouting units
succeed throughout the Zone(Stake).
• Each Cub Den, Scout Troop, Varsity Team, and Venturing Crew
should be served by a Unit Commissioner.
• The Stake Young Men Presidency serve as Unit Commissioners
for Scouts, Varsity and Venture.
• The Stake Primary Presidency serve as Unit Commissioners for
Cubs and 11 Year old Scouts.
• Provide initial orientation, ongoing support, and instruction for all
Scout units in the stake.
• Report the condition of Scouting in each Unit or Ward.

• Each Stake representative should register each year as a Commissioner


• This is a separate BSA application

• Registering with a Ward or Unit does not register you as a Unit Commissioner

What Do I Need to Do?
• Register as a Commissioner!
• Register as a Commissioner!
• Complete Contact Reports or Unit Service Visits in Commissioner
Tools
• Perform Simple Assessments on Unit
• Perform Detailed Assessments on Unit
• Commissioners should perform these functions as recommended
– Simple Assessments – regularly (monthly)
– Detailed Assessments – twice a year
• “Provide Real Commissioner Service”
Commissioner Tools

• Basic steps everyone must do to get access:


– Register as a commissioner-Very important
– Go to my.scouting.org
– Create a login and password for my.scouting.org
• It typically takes 30-40 minutes after password setup to get access
– Click on the “Home” in the upper left hand corner
– “My Dashboard” will appear
• General list of options
What Do I Do in Commissioner Tools
1. ADCs or DCs should assign Unit Commissioners to Units
– Very important
– District Commissioners should report on visit with Assistant District
Commissioners(ADCs)
– ADCs should report on their visit with Unit Commissioners
2. Unit Commissioners should record contacts and reviews
– Unit Commissioners to visit individual units
3. Provide a scorecard for unit evaluation

• Click on the District or Unit for which you are responsible

– There are multiple sections to open
• Only Open Commissioner Tools
– Any time you want to return to your Home or your dashboard just
click on the symbol in the upper left hand corner

Entering a Contact
• In Commissioner Tools, navigate to the Unit you wish to do a report on
• Select “New Contact “
• Select “Type of Contact”- Unit Meeting default -asterisked fields required
• Select “Date of Contact” (Can load a date in the past)
• Select “Unit health” – choose “declined, improved or unchanged”
• Select either:
– “Simple Assessment” – monthly or regularly
– “Detailed Assessment”- twice a year
• Simple Assessment - Fast and simple way to record a unit contact
– Record concerns and/or positive ideas discussed
– Complete an “Assessment” with every contact
– Value of Assessment – measurement & feedback

Select Simple Assessment
Completing a Simple Assessment
• Select “Overall Assessment Score”
– 1-5 in half point increments
– Click on “Score” you desire to give the unit
• Select “Comments Box”
– Enter information on how service plan is being implemented
• Special needs
• Good ideas
• General observations
• Other relevant information
• Select “Save and Complete Contact”
• This completes a Simple Assessment
• System will return to Unit Screen
• Notice Health Score in Upper Right Hand Corner

• Commissioners need to register as a Commissioner
• Once registered, then sign into Commissioner Tools
• Unit Commissioners should begin visiting units
• Evaluate or score a Scout Unit during visit
• Load Contact Report or score card into Commissioner Tools
• Provide uplifting and encouraging feedback to improve Scouting
