Structure Of MIS
Before Discussing about the structure of MIS, we
must be clear with the meaning of MIS.

MEANING
Management information system is a system that
provides information to various organizational
levels to assist in decision making. In today’s
world MIS holds a great significance.
For Example:
•Facebook is one of the most profitable
businesses in the world, and its entire
existence depends on the use of information
technology and information systems.

•Other successful companies such as Google,


Amazon, eBay, and Financial Institutions- most
of their success is due to technology.
Now if we talk about the structure of MIS, the
structure of MIS can be understood with help of
physical components, processing function and
output for the users.
Physical Components are as follows:
• Hardware
• Software
• Database
• Manual Procedures
• Operating Persons
Explanation
•HARDWARE: It is basically a physical data
processing equipment. It speeds up the
processing data into information.
Examples of hardware: CPU, monitor, keyboard,
printer, drives, tapes, communication devices,
etc.
•SOFTWARE: These are programs that run on the
hardware. The software is broken down into two
major categories namely software system and
applications software. System software refers to
the operating system i.e. Windows, Mac OS, etc.
Applications software refers to specialized
software for accomplishing business tasks such
as banking system, point of sale system, etc.
•DATABASE: The database consists of all data
utilized by application software. Data is
stored in files. Data basically refers to the
recorded day to day business transactions.
For a bank, data is collected from activities
such as deposits, withdrawals, etc.
•PROCEDURE: Formal operating procedures,
which are required to operate a system, such as
manuals, are also regarded as physical
elements.
Example: If you buy a microwave, you get a
booklet with that like how to operate it, this is
called manual and this is also an element of
MIS.
•OPERATING PERSONNEL: These are the users
who use the information system to record the
day to day business transactions. The users are
usually qualified professionals such as
accountants, human resource managers, etc.
Personnel like Computer Operators, Computer
Programmers, System Analysts, System
Managers, etc., are the operating people of the
information systems.
Processing Functions:
This is the second way to describe an
information system as the physical components
do not give an explanation of what system does.

Output For Users:
Another point related to management
information system is regarding output.

The output of most management


information systems is a collection of
reports that are distributed to managers.
Reports can be of following types:
Scheduled reports:produced periodically, or on a
schedule, such as daily, weekly, or monthly..
Demand reports:developed to give certain
information upon request.
Exception reports:automatically produced when a
situation is unusual or requires management
action.
Drill-down reports:provide increasingly detailed
data about a situation
