Effective
Communication plan
for Organisation

The Task in Hand:
Case:
Mr Amish is a channel strategy manager at a multinational company and is part of a country
management team. He is assigned a project for increasing the reach of the company's
products across four regions (i.e. North,south, east, west) in the country.
Due to Covid 19, the project is facing some challenges due to lockdown in the country with
respect to internal communications which delays its progress.

Objective:
1. To create an effective communication channel.
2. To plan how the channels are to be used by the employees.

Challenges:
1. Employees are working from home in a remote area with poor internet services.
2. Regional managers facing issues of handling employees and maintaining the
efficiency of the team.
3. To ensure data security.
The Plan:
1. An open channel of communication with respective to daily updates
may be done over a phone call for frontline employees with regional
managers. If unable to connect with manager, a delegate is selected
among the group of frontline and data may be transmitted through
him.
2. A secure private network (VPN) is to be set up by IT team to ensure
security of sensitive data while less sensitive data may be shared via
social networking apps like whatsapp and telegram.
3. An open channel with a spider web like branching is to be set up.
The country head cannot be involved with daily updates on this
open channel. So open channel will be most effective among branch
frontline employees and the regional manager only.
4. Distribution of Laptops and wifi dongles to employees having
access to delivery or courier services.
5. To set up an updated progress tracker and performance monitoring
metrics.
How?
1. Option of availing special allowances to upgrade existing network
connections or to get an alternative service provider.
2. Training in the new method of communication must be done with
updating the data security policies. Training in effectively using the
softwares(if any) or VPN for communication is key.
3. Flexibility with respect to time of reporting should be allowed for
people having difficulties with networking.
4. Progress trackers and performance trackers have to be updated on
the metrics involved in evaluating the employees and this is to be
communicated with them to ensure that all of them are in line with
the requirements of the project as well as the company.
Employee Aspect:
An important part of ensuring good team performance is by
improving employee morale. An employee who feels out of place
during these tough times will not performing to his potential.
He/she may feel the lack of the same enthusiasm as before. The
following can be done to reassure that the company understands
their situation and that they are part of a team and not alone.

1. Ensuring emotional well being of the employees by engaging in


regular casual conversations.
2. To motivate the employees with appropriate incentives.
3. Covid 19 Awareness program can be conducted with professionals.
4. Setting up a Health Fund for the employees and their families
specifically for Covid treatment.
Prerequisites:

VPN connections to be set up.


Accessibility to laptops and Dongles.
Dedicated IT team for smooth functioning
of the daily activities.
